The challenge: reducing manual document processing
Santiago Peñaranda receives operational documents in different formats and through multiple channels, including photographs, scanned documents, emails, and electronic files.
Fuel receipts represented one of the most frequent document types, but invoices and delivery notes also created significant administrative work. Employees had to read each document and manually enter the relevant data into Microsoft Dynamics.
This placed a repetitive workload on the finance team and increased the risk of inconsistent or incorrect data. The company needed a solution that could capture documents from different sources, recognize the document type, and extract the required information automatically.
The solution: MetaServer for scanned and electronic documents
Dyanix introduced Luigilar to MetaServer by CaptureBites, an Intelligent Document Processing solution designed to automate document capture, classification, and data extraction.
The project started with a proof of concept for fuel receipts. After demonstrating that the documents could be processed successfully, Santiago Peñaranda expanded the implementation to incoming invoices and delivery notes.
Dyanix Solutions Consultant, Paulo Fernandes, configured MetaServer and developed workflows tailored to the customer’s document processes.
MetaServer automatically imports documents from watched folders and email inboxes. It then uses AI-based recognition to classify the documents and extract relevant information, including machine-printed text, lower-quality text, handwritten or distorted content, and data contained in tables.
The structured data can then be transferred into Microsoft Dynamics, reducing the need for manual handling between document receipt and business processing.
The result: a more efficient and consistent workflow
By automating document capture and data extraction, Santiago Peñaranda reduced the manual intervention required to process fuel receipts, invoices ,and delivery notes.
The new workflow standardizes how documents are handled and improves the speed, consistency, and reliability of the information entering Microsoft Dynamics.
Instead of spending time reviewing documents and entering data manually, the finance and accounting team can focus on higher-value activities. The company also has a more scalable process that can support growing document volumes without increasing the same level of administrative work.

Today, MetaServer forms part of Santiago Peñaranda’s daily finance workflow and continues to support the company’s digital transformation.
